Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Analytics

When someone visits our website we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

User of our booking system

Our online booking system (Vertical) is provided by Powersoft, throughout the use of this system Powersoft will collect various personal information from in order to carry out the booking process.

Powersoft allows Gilvenbank Hotel to access this information for the purpose of fulfilling your booking with us.

Resdairy manage our restaurant and bar reservations. Bookings made through this service allow us to manage your upcoming reservation. Information you have provided maybe shared with others to ensure a smooth service. 

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email. We may also share your data with our sister companies, Kingdom Taverns and Kingdom Hotels.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. We use Microsoft Exchange Online as our email provider, if you choose to send us an email the details you include will be held securely by Microsoft. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

People who call us

When you call Gilvenbank Hotel, we advise all callers that we use may use a  system to record calls, these recordings are used solely for the purpose of staff training and evaluating the quality of our service. These recordings are stored for a period of 1 year after which they are deleted. Calls are sometimes monitored by fellow staff members. Voicemails are stored on our 3CX server for up to 30 days.
